This policy explains what personal data Equine360 holds about you, why we hold it, and the choices and rights you have over it.

Who we are

Equine360 provides horse management software for horse owners, riders and yards. For the personal data described here, the data controller is:

What we collect

  • Account details — your email address, display name, optional avatar, and your plan.
  • Content you enter — horses, health and vet records, farrier records, feed and turnout, training, competition and diary entries, calendar events, expenses, photos and videos, and notes.
  • Yard and business data — if you use the yard tools: clients, staff, tasks, services, invoices and payments you record.
  • Technical data — sign-in timestamps and basic error/diagnostic logs needed to keep the service working and secure.

We do not ask for special category data about you. Anything you type into free-text notes is stored as you entered it, so please only include what you need.

Why we use it and our lawful basis

  • To provide the service you signed up for — performance of a contract.
  • To take payment and manage subscriptions — performance of a contract.
  • To keep the service secure, prevent abuse and fix faults — our legitimate interests.
  • To send service messages about your account — performance of a contract.
  • To send marketing emails, where offered — your consent, withdrawable at any time.

AI features

Some features (the AI Advice Coach, video analysis, first-aid guidance and similar tools) send the text, images or video you submit — and, where you choose to include it, the horse record you select — to an AI model provider so a response can be generated. You choose when to use these features and what to include.

AI output in Equine360 is general guidance only. It is not veterinary, medical, legal or financial advice, and it does not replace a qualified vet, farrier, coach or accountant.

Who we share it with

We do not sell your personal data. We share it only with the service providers needed to run Equine360 — hosting and database, payments, AI processing, weather and mapping, and (only if you connect them) your accounting provider. These are listed on our data and subprocessors page.

If you join a yard as a yard client, the yard you are linked to can see the records and invoices relating to your horses at that yard. If you invite someone to a horse, they can see that horse's records.

Where your data is stored

Equine360 is hosted on cloud infrastructure. Some providers may process data outside the UK; where they do, we rely on the provider's approved safeguards such as the UK International Data Transfer Addendum or standard contractual clauses.

How long we keep it

We keep your data for as long as your account is open. If you delete your account, your records are erased immediately and permanently. Demo accounts are deleted automatically within 24 hours. Limited billing records may be retained where we are required by law to keep them.

Your rights

Under UK GDPR you can ask us to give you access to, correct, delete, restrict or port your data, and object to certain processing.

  • Export — download everything held against your account from Settings → Your data.
  • Delete — permanently erase your account and all of its records from Settings → Your data.
  • Correct — edit your records in the app, or email us.

You can also complain to the Information Commissioner's Office at ico.org.uk.

Security

Access to your records is restricted to your account by database-level access rules, and payment card details are handled by our payment provider — we never see or store them. No system can be guaranteed perfectly secure. Report a suspected vulnerability to support@equine360.co.uk.

Children

Equine360 is not intended for children under 13. Accounts for under-16s should be set up and managed by a parent or guardian.

We will update this page when our practices change and revise the date above. Significant changes will be notified in the app.
